Using the Space
Room Layout
The designs for all rooms are modular. Please feel free to move furniture as is necessary for your session. We ask you move it back the way you found it at the end of your session, to realign with the intentional Feng Shui and Vaastu interior design used at the IAC. The space is always in progress and changing furniture is a normal part of the experience of a shared space. Try to leave it better than when you found it - this is how our space keeps improving. If there are any pieces you feel strongly about, please let us know.

Booking Protocol
(Helix Plan Members, this section is not relevant for you).
Time Between Sessions: Each member must allow for a minimum of 30 minutes between bookings, and respectfully leave the room when your booking is completed as per what you have entered on the calendar. We all understand that sessions go over-time sometimes, so 5-10 minutes over-time is ok. However, the room will need to be cleaned up for the next session at least 10-15 minutes prior so they have some time to come in and get settled before their client arrives. If you need more than 10 minutes to set-up, then you will need to book (and pay for) that extra time. If you are in session and you find your session needs to go longer than intended, please check the calendar first and see that there's nobody booked after you, and adjust the time accordingly.
Booking By Session Type: When making your booking, use your first name in the subject line of the booking, followed by the type of session you are booking, in brackets. For example: Dorothy (Loud Client, Emoting, possible drumming). Do not include client identifiers in the booking. If anything, you can include their initials or a first name in the notes section of the booking, but nothing more than that please.
Booking with Sound Volume Level in Mind: In order to respect the diversity of sessions being booked at the space. We ask each Member to take the time to clarify the type of booking they make in the subject line of their booking. It will also depend on each Member evaluating the layout of the building, and taking into consideration the sessions occurring at the same time as their booking (scent, sound, etc). If there is a quiet session booked first, for example, do not book a therapy or potentially loud session next to it.
For example, if a Reiki session or meditation has been booked in one of the middle rooms, please arrange to book your talk therapy session on the other floor to create as large a distance as possible between sessions. Likewise, if a workshop is scheduled in 301 and you are looking to book a massage or meditation, use Suite 201 rather than 302 to create more distance between sessions. There's plenty of space for all of us.
Booking Events: Practitioners are welcome to use the Main Floor (The Plant Mystic) for group functions or events (demos, workshops, networking events) as per their membership plan. Ensure that your guests are aware that the 2nd and 3rd floors is therapeutic space, and to not speak in the hallways if they need to use the washroom. Likewise, if you have a client when there is an event or gathering on the main floor please let them know to be quiet / whisper your farewells, and close the main floor door quietly after they have left.
Transferring Hours: Please be aware that hours do not roll over from month to month. If you are concerned that you are consistently not using the hours allotted in your Membership Plan, consider going down a plan (60 days notice).

Managing Booking Challenges That May Arise
Double Bookings If someone is accidentally using your room and you have booked it:

If you notice ahead of time that a room has been double booked:
Cancellations
Please cancel the full booking as soon as you know the booking is not needed. We will only “count” your cancellation as hours towards your monthly plan / invoice (full price of the hour) if you cancel with less than 24 hours notice. In this case, please put “Cancelled Booking" in the subject line of that booking on the calendar, so other Members can see that the room is available to be booked last minute if needed.
Beyond 24hrs, you can simply delete the event from the calendar.
Room Items Missing or Damaged
If you at any point notice that something is missing or damaged, please note the day and time, and report it to Melanie immediately by email or text.
Double Bookings If someone is accidentally using your room and you have booked it:
- Please make sure you have indeed booked your room on one of the IAC room calendars and not your own (this happens sometimes).
- Knock quietly on the door and politely point out your booking. Assume a mistake was made.
- Please treat each other courteously when dealing with conflict, understanding that our booking system can be confusing to some of our members.
- Please DO NOT just take another room, if you have booked the room you have priority. The mistaken member must find an alternative.
- Please DO NOT knock on a door without first checking the calendar.
If you have made the mistake and are in the middle of your session:
- Check all the calendars to see if there is a room available, if there is, book it first and then enter and finish your session.
- If there is no room available, and you were in error, you might have to rebook with your client.
If you notice ahead of time that a room has been double booked:
- Please DO NOT go ahead and resolve it on your own.
- Alert Melanie immediately and we will deal with the situation.
Cancellations
