Organizing Your Client Lists

 Your next step in preparing for your Holiday Ramp Up is to get those client lists organized. In fact, as a wellness practitioner who's focus is primarily one-on-one, it's really important to keep your contacts organized. For now the primary goal is to sort your client lists into the following categories:

  • Existing Customers (those who you currently have booked, and those who have used your services anytime in the last 6months)
  • Previous Customers (those who have used your services 6 months or more ago)
  • Current Prospectors (those friends, colleagues, referrals, and family members who may be interested in receiving your services, but haven't yet. This may also be those who have reached out to you and then fallen off the radar before receiving a service from you)
You'll need to organize as many contacts as possible into each of these groups, using your email provider or one of the CMS systems below - and finding / merging duplicates where necessary. An example of how to sort contacts by "group" in Google, is HERE.
Contact Management Systems

A Contact Management System (CMS) will help you keep track of your clients and follow-up in a timely manner. Here are a few options available to you - use what works for your skill-level and comfort level!
  1. Outlook – If used to it's fullest, Outlook can become your ‘command central’. You can keep a note of contact’s details, track follow-up activities, manage your tasks, etc.
  2. Online contact management system – great for if you want to access your information from any PC, or you want to share your database with another team member such as a VA. One of the more popular CRM tools is Salesforce but you might want to also check out AddressTwo too (this is a simple CRM system and is great for small business owners).
  3. A Spreadsheet – this is a very simple tool for when you are first starting out, but it will soon become cumbersome and unwieldy...but it can be a good start in getting things organized for Week 6 of the Ramp Up If you use Gmail, there is Boomerang for Gmail – it allows you to bring messages back into your inbox to easily follow up with a prospect or client, send emails later, and track your emails.
  4. If you’re currently using Infusionsoft, it comes with a built-in CRM (Customer Relationship Management) System so you're ready to go!
